Operations Manager (Property)

Our client based in Capricorn Park is currently looking for an Operations Manager with Property Management experience to join their team. The successful incumbent will take responsibility for the overall day to day management of a residential complex. This is a great opportunity for an experienced proactive individual who is able to multi-task and work in a collaborative environment. Reporting to the Estate Chairperson, the Operations Manager’s working hours will be Monday to Friday, 8am to 4:30pm. He or she will be expected to be available for after hour emergencies, as well as evening and weekend hours when required.

Job Summary 

  • The Operations Manager is responsible for supervising property management staff and overseeing operations.
  • The Operations Manager must establish, maintain and oversee effective staffing, management systems and tenant relations.
  • The Operations Manager works with staff to create a safe, clean and empowering community at each housing site.
  • The Operations Manager will participate in the creation of estate strategies, operational procedures and policy development.

Principal Duties

  • Staff supervision: set employee goals and objectives; review, evaluate and monitor staff performance; ensure effective retention efforts; and ensure appropriate staffing of the Estate.
  • Supervision of Maintenance and Security Supervisors.
  • Facility management: conduct frequent safety inspections and quality assessments of the Estate; coordinate with Maintenance Supervisors.
  • Tenant relations: ensure effective and respectful response including tenant welcome packs, Estate Rules and Regulations:  biometrics setup, resolving of tenant complaints and concerns; and be available to tenants during working hours and in emergencies.
  • Attend internal and community meetings to ensure the department’s effective partnering with other organizational departments and the community at large.
  • Administrative and other financial records: oversee the submission of timesheets, check requests, submission of supplier invoices and other records as required.
  • Participate in the creation and implementation of departmental strategies, operational procedures, policy development and budget development.
  • Monitor all expenditures of the Estate.
  • Ensure follow-up on Estate rule violations.
  • Provide guidance to all Supervisors in emergency situations as needed.
  • Participate in rotating weekend emergency response coverage as needed.
  • Participate in fundraising, advocacy and other agency-wide activities.
  • Other duties as assigned by the Estate Board of Trustees.

 

Requirements


Matric is essential, a related degree or diploma is preferred.
Three years’ experience in Property Management preferred.
Knowledge and understanding of the legal framework governing property law in South Africa preferred.
Knowledge and the implementation of the Labour Relations Act
A commitment to excellence in service delivery and facility management.
Experience supervising staff required.
Ability to manage confidential information in an appropriate manner.
Excellent interpersonal and business communication skills, both written and verbal.
Proven conflict resolution skills.
Ability and willingness to maintain and provide a high level of customer service.
Ability to work independently and follow instructions with minimum supervision.
High level of organization, attention to detail, and ability to complete tasks.
Computer literacy skills including MS Word, MS Excel and MS Outlook.
Ability to work with staff, tenants and community members from diverse backgrounds.
